Spent time in Moovila preparing for the meeting. I don't have access to Autotask.

Spent time with Mark S. catching up on Projects since our last visit before the holidays.

Reviewed the report I received last Friday. Went through a bunch of missing projects from the report. He had caught them and said it should be right now as well. We still reviewed to ensure. Also discussed some of the columns in the report trying to marry up Active Project columns with Tickets in Pre-Sales.

Discussed Dan Wolfe in detail. Still 50 machines to get done out there, which stretches us another 2 weeks off schedule to a week of Feb 10th to completion. Apparently slow downs include:

  • Reynolds and Reynolds admin was on vacation – needed her to deploy workstations – i didn't get into it this time that certainly everything but that should have been queued up vs. any dead time
  • Datto needed to install Line of Business apps and apparently there was a problem with that as well
  • Context was switched – 4 new PCs outside the project needed priority to get done

I expressed we need to update Dan Wolfe folks with a new window of completion to re-set expectations. We discussed adding in some reasons stated above to why. I re-iterated I would like the email cc to Chris B. and forwarded to Nic & I. To be fair I am writing this activity up on the 14th (the next day) – I have not seen that communication come through as of almost 2pm Tuesday the 14th.

We got into communication emails on other projects as well, again re-iterating we need copies of those emails as well.

I expressed that we need to do these manually. However, we do need to be conscience of some of them that we can automate through workflows – so as things are completed or hit a percentage complete – we can automate some best of practice emails out to the clients to ensure they are getting updates.

Also – Wes made a pre-planning document/checklist for projects. We discussed how we incorporate that into Moovila/Autotask and template it in there.

Discussed standardizing the format for "Quick Status" and "Status Detail" (which is now the quickstatus for Active Projects vs. Quick Status is the actual field name in Tickets in Pre-Sales. I wanted the format such that the current date the quick status is being entered is at the start. So as an example:

Dolan Engineering, PROJECT: M365 Implementation and On-Premise Server Migration DOL, 1/10 – Client Kick off Complete,

This way when we look down quick status or service detail it starts always with a MM/DD – [status] – so we can know when the last time the status was reviewed/updated.

Good meeting – I think – still wondering about adoption/acceptance of communication emails being cc'd and forwarded.

Action Items:

Follow up with Mark on 1/15 if no communication emails come in prior to 1pm 1/15.

Recurring meeting has been set for M/TH so updates can be done for T/F automated reports
