Nic re: Shartega Wrap
Notes:
Nic sent me a final "ish" proof with the redone language per our discussion last week for the vehicle wrap. We discussed via email the QR code locations, the Shartega with the dot IT, vs the domain with .com vs. IT.
Nic responded they had decided to remove the dot, and stick with the .com – so the opposite of my suggestion to have both. Our emails on this will probably go back and forth, but as I am wrapping the week, the rest is documented by email.
He has asked us to manage the QR code – assigning that task to Jordan (I had suggested it last week while in-person / today its official from Nic to do it so we will)
Action Items:
Generate the QR code for the wrap.

Nic found an error on a jotform with a field mentioning marketing needs (vs IT needs)
Notes:
We received an email from NIC re: a Jotform with a question that asks what their specific "marketing" needs were – clearly they cut and paste probably a jotform from their own website, and didn't change the wording to reflect IT needs, vs marketing needs. Stephen has responded they will remediate it in the next few hours. I have asked Jordan to comb the site's forms to ensure its not replicated in different places.
Action Items:
Jordan to try and find any more input forms and review the wording on each to ensure its referencing IT, as well as make sure all of them have company, email, phone, etc.

In-Office Brief
Notes:
While in office at Shartega:
1) Had a 1-1 with Chris & Nathan – we went through their vCIO process changes they want to implement for 2025. Spent about an hour+ going through this with them.
2) Spent about an hour cleaning out Bretts desk, going through all his documentation, preparing for shred anything that should not be passed along to the internal sales person role we are going to build.
3) Spent about 20 minutes going through the meeting agenda for the all-staff lunch
4) Spent about 30 minutes shoring up with Ricki
5) Worked with Mark and Wanson on weekly project report requests, their content, timing, and requirements for 2025. (Tuesday and Friday night about 7 or 8pm to go out) – I would like it to include current/active projects with quickstatus(or its autotask equivalent – I would also like the same for the sales board).
6) Went through projects and status with Mark. Dan Wolfe at that time still has 77 PCs to deploy, at our current rate of deployment and holidays/etc. it is very possible they will miss finishing the project prior to Jan 27 (the week of the 20th was our goal). I will be working with Mark to try and get them to produce more, we need to really be doing more than 3 per day. I discussed this at length with Mark, Jesse, and Ethan.
7) Went through some of the other projects to include Onboarding of RiFast which is STILL being worked. We also discussed Lucids temporary move.
8) Went through the marketing merch area to see what was left. I found a stack of Starbucks cards (17 I believe) – I have given them to Ricki – he said he might give them as a simple gifts to like the postman, etc. Told Nic about them as well – they should be used for something.
9) Reviewed the Car Wraps with Nic, discussing which design was more striking, wording, use / placement of QR code.
Enjoyed the day with the team, and the evening festivities.
Action Items:
Follow up with Wanson & Mark on automation of the tue/fri reports
Follow up on productivity of Dan Wolfe and pushing to stay on time
Follow up on RiFast slow onboarding completion

Projects Mark <> George
Notes:
Moovila – All projects were archived *red flag
Apparently with the "sync" they had to archive them, then maybe bring them back?! for them to Sync. Need clarity on this.
I recommended we start to build out Evanston server migration
HDMI & USB-C cables are *missing – this needs to be a checklist item in multiple spots to ensure it is catched
Dan Wolfe Toyota – many PCs are minis behind TVs – they need to "find" them all – this should be a quicker thing
66 monitors were moved to Dan Wolfe Chevy – Mark did not do this like he said he was therefore did not take them to lunch, but they did have them in the office and along with the NOC bought pizza. Kinda what we were talking about, but probably not.
Working still with Wes on breaking down the Lucid Move
Action Items:
Clarity on Archived work in Moovila sync to Autotask
Mark needs to go onsite – show love & leadership – give lunch and dedicated time to the project employees
No meeting next Monday – going in Person on Thursday.

Notes:
Community Honda is not in Moovila.
CCP – additional 10 iPads are up and going (again I have some concern if we are charging for all the devices)
Dolan – Moovila not updated to reflect Jan 8 kick off – spoke to Mark on this
Ettleson – Plan is to get Darren to get a list of security groups. Mark needs to send communications on Training, Kick Off, Expectations.
Hiller – Sunday clean up – cut over on Monday.
Autobarn Vita – NAS fan is out – Ricky has setup an RMA – I advised Mark to get good communication out to Autobarn, then forward that to Nic/Chris/George.
Lucid Medical – Project for an office move – this needs again to be in Moovila in pre-sales area.
Moovila integration to Autotask is working but time entry is not sync – should be by end of year. Dec 4th they will do testing on the integration w/ Mark and train.
Went through Autotask – We are going to reuse a field in there called status details – needs to be on everyones list view – Mark added it to his – but it would be good to verify it is on everyones or everyone puts it on there. We will use status details field as a "Quick Status" field.

Intent Data Review Oct 1-Nov 19 review.
Notes:
Went through all the intent data of folks that visited shartega.com – much of it was our own clients going there to open a ticket or get help. Some were marketers, etc. Some were in the wrong state or not geographically fitting. Some were individuals looking for jobs, or sales people looking at how we might be synergistic (i.e. programmers and developers from firms – etc.) – I was able to single out a half dozen or so that appeared to be either decision makers (president/owner) or office managers/finance people that would be charged to find some local businesses. I assembled the list and sent to Nic for review and recommended he reach out via linkedin or email and start a qualifying discussion.

Mark X George <> Projects
Notes:
Spent time preparing for meeting with Mark regarding projects, reviewing both my Wrike project list and his moovila list. Moovila does not appear to be updated since last time Mark and I spoke (last Thursday).
We got on the call and reviewed:
Dan Wolfe – Mark was running through reports that were given to him. 30 pc's or so from Toyota need to be tracked down. A few are chevy & lexus.
Remaining PC counts appear to be:
Toyota 30
Lexus 30
Chevy 50
Total of 110, divided by 4 per day, is 27 and half days to complete just the PC part. They still need a few days for monitors. They still need additional time for memory upgrades. And they need time to track down things that have been lost in the shuffle.
We discussed and I recommended he communicate that the project would not be completed until the week of Jan 20th.
Autobarn is next, I recommended he go set expectations that the earliest we likely could start is the last week of January. He agreed.
We discussed the VIDA project that Wes is on will not take him long. Once it is completed while we are waiting for hardware and money to drop on other projects, he go ahead and work on Dan Wolfe until everything else is staged once Vida is completed. There are still a few other projects that are wrapping up as well that Wes is directly involved in.
We discussed reporting more. And getting MSP bots configured to start building project reports for Tuesday and Fridays.
He also said he wants to get MSP bots to start doing more KPIs. This was good to hear, I agreed, and to mock those up and lets review.
We discussed communication. I suggested he send out these communication emails to the clients. Then forward the sent email to Nic & Chris so they were aware of the expectations and information being communicated to the client.
I have asked him to take time to update Moovila both in deadlines and milestones.
We meet again on Thursday.

Nic X George || 1-1
Notes:
Nic and I had a good discussion around Adigy and device counts. I wanted to verify we are indeed billing/monthly for all these devices.
We reviewed reporting and reporting behavior for Projects. Nic said he thought the Moovila implementer was suggesting using a standing field that could work as a quickstatus field since there is no custom fields. I will discuss w/ Mark. I think having a custom field in autotask would be a good work around. We discussed behavior for Mark having more daily interaction with Moovila.
We discussed a little about timing/travel for trip in on Thursday the 12th, to include pickup from airport and debrief meeting before going into office. Then be there all Friday and Christmas party to go Friday night.
Discussed HR issues particularly around Healthcare/Chris B getting married and then needing to adult some and pay for more. Can't give him a specific healthcare stipend or the entire company, all employees would get one, what is done for one must be done for all in regards to healthcare. I did discuss if he was due for a bonus or raise that might settle it. Nic said raises were in Feb, which isn't far off, few months.
Final was a sales lead came in from the website – we looked up the person and it was for the Chicago cruise boats that go around the city river. Looked like the right person. We realized that the webform does not capture phone. So Nic was going to call and see if he could get to the lead source on the phone. I have sent a request to Steven/Miles to ask/capture that information going forward.
Nic had to get to a meeting with Chris, where I suspect he might bring this up.

CCP – Adigy – setup up 26 laptops, 10 more to do – not activated w/ Verizon – likely a timeout/no use reason – they are working on it. Also setup 10 phones. Talk to Nic re: making sure all these devices are on monthly maintenance plan.
Dolan – finally responded – kickoff scheduled for Jan 8
Rifast – Michigan site is having problems all around to include DHCP issues. IT guy going there next week to resolve. Also need IT guy to get Policies working for Wanson to get CyberAwareness training kicked off.
ATI – hung up on a Bittitan issue.
Discussed more at length on QuickStatus and getting reporting working. Discussed that Autotask is likely where that will go. We need to get some verbose status on each open project. I need to continue to push on Mark to update Moovila daily. He is certainly in Autotask more than Moovila. I believe there is some lack of priority while the integration from Moovila to autotask is not working. MSP-Bots then to build reports, I am suggesting Tuesdays and Fridays, around 7pm to run project status reports.
Action Items:
Discuss w/ Nic CCP to ensure it is getting billed.
Continue to push for reporting.
